ESI and EPF same week, which date first

Both sit near the 15th. I used to think I must pick a saint. EPF first or ESI first. Now I pick the one whose sheet is ready and whose cash is in the bank.

Typical window for last month wages is around the 15th for both in the talk I hear. Official pages can differ. I dont invent a holiday list. I open the two portals and I look.

Two portals, one week, one tired clerk

EPFO side. ESIC side. Two logins. Two passwords. I wrote them in the same diary on two lines. I still mix them when I am sleepy.

Wage sheet can be the same staff list. Coverage is not the same. Some staff are in PF. Some are in ESI. Some are in both. Wage ceiling talk is different. I dont copy the PF number into the ESI sheet by habit.

A bakery near Bani Park called me last September. They paid PF on 14th. ESI they forgot. They thought one challan covers both. It does not.

I pay the ready one first. If PF ECR is uploaded and the bank has that rupee, I finish PF. Then I sit on ESI. If ESI return is ready and PF file is waiting on a new joiner UAN, I finish ESI. I dont hold both till 15th 10 night.

Last month salary date is not the ESI date. I wrote the PF version of that here: EPF payment date for last month salary. August salary on 1 September. Mid month still waits.

How I split the cash

I make two slips. PF rupee. ESI rupee. I give both to the owner on the 8th.

If bank can do only one today, I ask him which pain he fears more. I dont choose by my mood.

I dont take GST cash meant for 3B. 3B around the 20th is a different fire. GSTR-3B late by 8 days.

I dont take staff salary leftover. That leftover is not leftover. It is next week stock.

If UPI fails, I dont click twice like a game. I check the portal. GST taught me that. GSTR-1 payment failed.

Professional tax may also leave the same month. Take-home looks thinner. Professional tax and take-home in September. I still dont mix PT challan with ESI challan.

Which date I write on the wall

I write 15 in red. I write PF and ESI next to it. I write 11 for GSTR-1. I write 20 for 3B. I write 15 again for advance tax if the owner is in that life.

Same week can have GST and PF. I count working days for GST here: Working days between two GST dates. For PF and ESI I aim earlier, not later.

If 15th is a Sunday, I dont wait for Monday to “see”. I try Friday. Circulars sometimes talk extra days. Sometimes not. I dont bet the shop on a forward message.

School holiday week plus this week is bad. I do the sheets before the picnic. School holiday week and GST due same week, plan.

Mistakes when both are due

Using the PF wage for ESI when the person is above the ESI band. I did that. Portal or the next inspection can make you look careless.

Missing a staff who is only on ESI. Temporary helper. I now keep a third column. PF. ESI. Both.

Paying ESI from a personal account and PF from the firm account. Mapping pain.

Uploading ESI for the wrong month because the dropdown stayed on July.

Thinking QRMP GST means PF is also quarterly. It is not. QRMP IFF and GSTR-1 is a GST story.

Nil month on GST is still a file. Nil wages on PF or ESI I dont skip without looking. Nil GST return, do I still file. Different law. Same fear of skip.

How I actually sit on a Tuesday

Tuesday 9 September last year. Shop quiet till 11.

I finished PF ECR first because the new joiner UAN had come on Monday. File was ready.

I paid PF. Printed challan. Tea.

Then ESI. One staff wage I had to correct. I paid ESI after lunch.

I did not wait for Thursday 15. I slept on Tuesday like a king. Small king. Jaipur king of two challans.

A hardware shop clerk on Tonk Road does both on 15th after closing. Portal slow. He calls me angry. I tell him move it to the 12th. He says owner gives cash on 15th. That is the real fight. Cash date. Not saint date.

I tell the owner the 12th number on the 8th. If he still brings cash on 15th, I still try the same day. I dont go home saying I will do it tomorrow if tomorrow is 16th.

Staff who ask which one matters

They ask because passbook and ESI card are what they see.

PF they see in the passbook after some days. ESI they see when they go to a hospital. Both matter. I dont tell them one is fake.

If someone is leaving, notice period days is a different count. Company wants notice period 60 days, last day when. I still run PF and ESI on the last wages.

If they want a festival bonus in October, tax on bonus is yet another page. Festival bonus in October, tax estimate. Bonus can change the wage sheet. I dont hide bonus from the sheet if it is wage.

What I keep ready for both

Attendance. Overtime if we pay it.

List of UANs. List of ESI numbers.

Bank balance screenshot for the owner.

Two passwords. Two registered mobiles for OTP.

A charger. I file from the shop laptop. Phone OTP. Same as GST 3B on phone days. Rajasthan shop GSTR-3B on phone, what to keep ready. Same charger. Different site.

I dont keep OTPs on speaker when customers stand at the counter.

If I miss one and do the other

I dont hide it. I tell the owner. I pay the missed one the next morning. I look at the official late talk on that portal. I dont copy GST late fee math.

I note it in the diary so next month I dont repeat.

I dont skip next month to “adjust”. There is no such adjust in my head.

If a notice comes from one department, I dont send them the other department’s challan. I have seen a photo of a PF challan attached to a GST mail. That is not how anything works.

September crowd

September 2026 search is dates. 11. 15. 20. I live those numbers.

ESI and EPF same week is normal, not a special year. Every month can look like this. September feels louder because GST and advance tax shout in the same month.

I use EPF ESI date helper when a new boy joins accounts and asks “which date”. I still tell him to confirm on the official portals.

Which date first. The ready one. The funded one. Then the other. Both before the 15th if I can.
